Privacy policy
Aptel Activations, operated by Aptel. Last updated October 28, 2026.
Who uses this site
Only people approved by Aptel leadership: sales reps, activation technicians, and administrators. Anyone can apply, but every application is reviewed, and the applicant’s email must be confirmed first.
What we store
For each account: name, work email, role, office, a securely hashed password, an encrypted login-code key, login and activity times, and the devices that turned on alerts.
For each application: name, email, requested account type, and when it was sent. Applications are deleted once they’re approved or denied, and unconfirmed ones after 24 hours.
For each appointment: the order ID, city, date and time, length, who booked it, who claimed it, when each step happened, any reason it was released, the outcome (disposition), and the technician’s notes.
We do not store customer names, phone numbers, addresses, account numbers, or other customer details. Notes and release reasons are checked automatically and refused if they appear to contain them.
How long it’s kept
Each appointment record is kept for 30 days after its last change once it’s closed (completed, cancelled, or never filled). Then the record, its notes, and its calendar events are deleted, and a report row is kept for 30 more days so administrators can review and download it: order ID, appointment time, technician, “on the way” and completion times, status, disposition, and notes. After that the row is deleted too. Activity logs are deleted after 30 days. Accounts not used for 30 days are deleted, after a warning email.
Google user data
If a technician connects Google Calendar, Aptel Activations requests one permission: to create a secondary calendar and manage events on calendars it created (calendar.app.created). With it, Aptel Activations:
- creates one calendar named “Activations” on the technician’s Google account;
- adds, updates, and removes events on that calendar for open appointments, appointments the technician claims (with reminder alerts), and their completed appointments; and
- sends a test event when the technician asks for one.
Aptel Activations cannot read, change, or delete any other calendar or event. Events contain the order ID, the city, the time, and a link back to this site; completed ones also show the outcome and the technician’s notes. They never contain customer names, phone numbers, or addresses, and they’re deleted when the appointment record is.
The access tokens Google issues are stored encrypted, are used only to keep the Activations calendar up to date, and are never shown to anyone, shared, sold, or used for advertising or to train AI models. Disconnecting deletes the Activations calendar, revokes access with Google, and deletes the stored tokens. Access can also be revoked at any time from the Google Account’s security settings.
Aptel Activations’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Alerts and email
Alerts are sent as push notifications to devices where the person turned them on, through their browser or phone maker’s push service, and by email. Alerts contain the order ID, city, time, and, for sales reps, the outcome and notes of their own appointments.
How information is used and shared
Information is used only to schedule, complete, and review activation appointments. Administrators see everything for their office. Sales reps see the status, technician, outcome, and notes of appointments they booked. Technicians see open appointments and their own. Nothing is sold or shared for marketing. The site runs on Cloudflare, which hosts the application and database. Administrators can download monthly audit reports; downloads are logged.
Security
Every account uses a password and a 6-digit code from an authenticator app. Connections are encrypted (HTTPS). Passwords are hashed, secrets are encrypted at rest, sessions expire, and every action is logged.
